The Senior Accounts Administrator is responsible for the billing, reconciliation and analysis of all commercial sales accounts.

The Role

Reporting to the Supervisor – Commercial Sales Operations, the Senior Accounts Administrator is responsible for the billing, reconciliation and analysis of all commercial sales accounts.   They act as resource for all accounting related issues which includes account reconciliations, invoicing, and accurate payment application to ensure timely collection of receivables.  The incumbent will maintain records for customer credit limits vs. balances and provide reporting on a weekly basis on the status for account balances as well as aging AR status.  They are also responsible for submission of all vendor funding logs and vendor follow-up to ensure timely payment.

Responsibilities

Accounts Receivable Reconciliation – On a bi-weekly basis works with accounting team to ensure that payments received are posted accurately to the corresponding aging AR and outstanding AR is reconciled. Submits discrepancy adjustments to accounting with for processing.  Investigate all aging AR over 30 days and log detailed investigation notes. Provide aging AR status report on a weekly basis to management.

Billing and Collection - Creates invoices and submits to clients for payment on a weekly basis. Monitors clients’ accounts for non-payments, delayed payments and other irregularities and communicates with account managers and customers for resolution on overdue accounts.  Resolves any billing discrepancies/disputes that clients may have. Process all vendor funding logs on a regular basis to ensure timely payment from vendors.

Department Admin - Provide back up support for sales admin functions when required. Perform payroll administration for the department

Complete ad hoc requests, reports and other duties as required

Requirements 

All requirements are based on 3-5 plus years of experience and include, but are not limited to the following:

- Account Administration for medium to large size business preferably in retail or business to business environment

- Excellent computer skills with above average ability in using Word, Excel, Access and other Microsoft applications

- Effective communication skills (both oral and written), strong analytical and organizational skills with the proven ability to work independently

- Bilingual (French and English) 

Education 

- Diploma in Business Administration or related field preferred
